Job Function

  • Accounts Assistant to Finance Manager with day to day finance administration

Duties and Responsibilities

Invoices

  • Posting all invoices

  • Loading invoices onto SAGE and checking incoming invoices

  • Matching invoices against Purchase Orders

  • Checking Purchase Orders have been correctly raised

  • Obtaining approval for payment

  • Scanning all invoices, indexing and archiving invoices

  • Tracking the receipt, authorisation and payment of supplier, subcontractor and other invoices from creditors, according to agreed terms of payment

Bank Reconciliation

  • Ensuring bank reconciliations are undertaken with both GBP and Euro accounts

Expenses

  • Processing personal expenses of employees and contractors

Payment Runs

  • Setting up Payment Runs, including Euro payments

  • Negotiating exchange rates with AMEX or similar payment system.

  • Preparing Payment Runs for contractors and suppliers

Miscellaneous

  • Assist with Audit Queries during annual audits

Key Success Factors

  • This is largely an administrative accounts role supporting the Finance Manager

  • Professional integrity and the ability to build trust

  • Superior organisational, administrative, verbal and written communication skills, including the ability to communicate effectively and tactfully

Education and Experience

  • Experience as an account’s administrator in the finance department

  • Proven track record of delivery of finance administration

  • Previous experience of SAGE

Office Administrator ( Maternity Cover)

Oakes Recruitment Limited are acting as a Recruitment Agency for our client and we are currently looking for a qualified and experienced Office Administrator for Maternity Cover on behalf of a prestigious and dynamic motorsport company based in Silverstone. This will be up to a 12-month contract depending on the successful candidate’s availability to start.

A successful candidate will have experience in a demanding but rewarding environment such as the motorsport industry and have the proactive and responsible attitude imperative for a high-level Office Administrator.

The Candidates main responsibility will be ensuring the smooth running of all front of house activities, dealing with incoming post, deliveries, phone calls etc. Ensuring parcels are shipped out in a timely manner. There will also be some travel organisation required, however there is support for this function should it be required.

Other roles include but aren’t limited to, checking the expenses of staff when needed, organising the ordering of team necessities such as clothing, stationary and cleaning supplies. Communicating with all departments within the company and assisting new members of the team along with supporting those that are long standing members of the team. The ideal candidate will be an all-round helper, that is an integral part of making sure that everything runs effectively and smoothly.

A professional and polite manner is essential as you will be an integral part of the front facing facet of the company. Motorsport is a multi-national industry that will require conversing with people from all around the world. Travel Coordinator and office Administration

A successful candidate will have experience in a demanding but rewarding environment such as the motorsport industry and have the proactive and responsible attitude imperative for a Travel and Office Administrator.

The Candidates main responsibility will be organising the travel for a specific race series alongside assisting with general day to day office administration.

Roles include but aren’t limited to, booking flights, airport transfers and hotels for team members, ensuring accurate expense figures are submitted for payroll, booking parcels on for collection and assisting with ad-hoc admin tasks within the existing administration team.

The ideal candidate would be able to communicate well across all departments within the company and would be comfortable assisting both new and long standing members of the team as well as providing administrative support to the Management team.

The successful candidate will be an all-round helper, that is an integral part of making sure that everything runs effectively and smoothly. A professional and polite manner is essential as you will be working with clients on behalf of the team, often acting as an intermediary between the two.

A full, valid passport is requirement as the role will involve extensive travelling.
